How to Set Up Company Policy on Talenta

Here are the steps to set up Talenta for your company.

Important
For information that the set up process in some sections (such as related to Time Management, Payroll, etc.) needs further discussion with the activation team or support team so that no errors occur in the set up process.

1. Company 

  • In this menu, you will do company settings such as company information and also if you will use Talenta's Live Attendance feature. You have to activate the company menu first.

2. Attendance

  • In this menu, you will make company settings for creating shifts or employee schedules and then settings related to employee attendance locations (if using the Live Attendance feature).
  • The first thing to do, you need to set up a Schedule, for the guide can be accessed here
  • If you use an attendance machine and want to upload the data into Talenta, you need to set the data format from your attendance machine first, so that the data format can be read by Talenta, learn the guide here
  • Then if you use the Live Attendance feature, you need to set up Mobile Attendance, the guide can be accessed here
  • If you want to integrate your employee's attendance data with Talenta directly, you can connect it with Mekari Agent, the guide can be accessed here

3. Time Off

  • In this menu you will make company settings related to leave policies.
  • The first thing to do is to create a Time Off / Leave policy, for the guide can be accessed here
  • Then after you have finished uploading employee data, the next thing you need to do is assign employee leave, for the guide can be accessed here
  • Finally, you need to upload employee leave balances (this is done for the first time only) for the next year/period the employee balance will be automatically updated by the system. The guide can be accessed here

4. Overtime

  • In this menu, you will make company settings related to overtime policies.

5. Payroll

  • In this menu, you will manage the company's payroll policy.
  • The first thing to do is to manage the company's payroll schedule policy, for the guide can be accessed here

  • Besides that, in Talenta you can also add payroll components other than basic salary that will increase or decrease the employee's Take Home Pay, see the guide here.

  • In payroll calculations, usually every company has employees who have just joined in the middle of the period so that the employee's payroll will be calculated on a prorate basis. Learn the guide here.
  • In Talenta, you can also apply settings regarding the basic calculation of employee attendance data that will affect the employee payroll, learn the guide here.
  • You can also set the policy on THR calculation, where in Talenta the calculation is divided into 2, prorate days and months. Learn the guide here.

6. Reimbursement 

  • In this menu you will set the reimbursement policy in the company.

7. Branch (If used)

  • In this menu you will make company settings related to company branch information.

8. Organization Structure

  • In this menu you will make company settings related to Organisation/Department/Division in the company.

9. Job Level

  • In this menu you will make company settings related to Job levels in the company.

10. Job Position

  • In this menu you will make company settings related to the Position in the company.
  • The guide can be accessed here

11. Employment Status

  • In this menu, you can add employee status other than the default (Permanent Employee, Contract Employee, Internship) that has been prepared by Talenta.

12. Import Bulk Data Karyawan

  • After the setting process 1 - 11 is complete, then next you need to import employee data.
  • Before the import process is carried out, make sure all mandatory data in the employee data template has been completed.

13. Assign & Update Balance Time Off

  • After the employee data import process is successful, then you need to assign and update the leave balance of the employee.

14. Approval Setting

  • In this menu you will make settings related to the approval flow of leave applications, data changes and others.

15. Invite Employee
