How to Import Shift and Employee Attendance

In Talenta, if you want to update employee shifts or attendance, you can do it on the attendance menu. Here you can change the shift and attendance of both employees and mass units. Follow the following steps to change the shift and attendance in mass:

A. How to Import Shifts

  1. Go to the "Time" menu, select  Attendance.

  2. Click the “Import” button, then click Employee shift.

    You cannot import shifts, import attendance, and run payroll simultaneously with the fingerprint import process or with other feature import/export processes.

  3. Then, you will be directed to the Import employee shift page as follows.

    1 Select employee Click to select only the employees whose shift data you want to import. The list of employees you've selected will appear in the Select employee list, as shown below. If you make a selection error, you can delete the selected employee's name by clicking the "-" icon.
    2 Select all employees Check to import data of all employee names in your company.
    3 Date Click to select the time range of shift data you want to import.
    4 Proceed to upload data Click to directly import shift data without any data filtration settings.
  4. Then, click "Continue".

  5. Download the template by clicking the “download” icon, then click “Continue”.

  6. Then, click “View inbox”.

  7. You will be directed to the Inbox menu, then select the message from the system for the successful export.

  8. Then click “Here” to download the export results.

  9. Select the shift schedule date you want to change. For example, in the 2025-12-01 (current) column, the employee is set to get a Special Holiday shift; you can change it to Office or another shift.

    You can also import and edit employee data for multiple shifts. The example below shows one with multiple shifts. You can edit individual shifts or batch edit them by entering new shifts in the new row. In the example below, employee Andini Pratiwi will have two shifts on December 26, 2021: Dawn (the new shift) and Afternoon.

  10. Save or “Save” the changes you have made to the data.

  11. Next, you can click “Browse” to upload or import the shift data you've modified or added. Then, click “Upload.”

  12. Click “View Inbox” to see the status of your import.

  13. You can also directly view shift changes by selecting the date corresponding to the shift you changed.

  14. You can see the changed shifts as follows.

B. How to Import Attendance

  1. Go to the "Time" menu, select Attendance.

  2. On the Attendance page, click the “Import” button, then select Employee attendance.

    You cannot Import Attendance, Run Payroll, and Import Shift simultaneously with Import Fingerprint and other features.

  3. Then, you will be directed to the Import employee attendance page as follows.

    1 Select employee Click to select only the employees whose attendance data you want to import. The list of employees you've selected will appear in the Select employee list, as shown below. If you make a selection error, you can remove the selected employee's name by clicking the "-" icon.

  4. Then, click "Continue".

  5. Download the template by clicking the “download” icon, then click “Continue”.

  6. Then, click “View inbox”.

  7. You will be directed to the Inbox menu, then select the message from the system for the successful export.

  8. Then click “Here” to download the export results.

  9. Enter the attendance data you want to update in the provided fields. For example, if you want to enter employee attendance data when they check in, enter the time in the format 00:00 in the Check in field.

    NOTE You can also import and edit employee data for multiple shifts. The example below shows one with multiple shifts. You can edit individual shifts or batch edit them by entering new shifts in the new row. In the example below, employee Andini Pratiwi had two shifts on December 26, 2021: Night (new shift) and Afternoon.

  10. Save or “Save” the changes you have made to the data.

  11. Next, you can click "Browse" to upload or import the attendance data you've modified or added. Then, click "Upload".

    On this page, you can filter which parts of the attendance data you want to change in the Field to be updated section. Here's the explanation: 
    - All fields (default): Click if you choose to get all attendance data. This is the default setting. 
    - Update only selected fields: Click to filter several columns in the attendance data you will get. 
    - Select fields: If you choose Update only selected fields, then you must select which data or column titles in Excel you will get. You can do this by checking each column title available in the list. 
    - Select all: Click this text if you want to check all the column title checkboxes in the list.

  12. Click “View Inbox” to see the status of your import.

  13. You can also directly view shift changes by selecting the date corresponding to the shift you changed.

  14. You can see the changed shifts as follows.
