How to Manage Talent Pool

Through Mekari Talenta Recruitment, those with the Ultimate Hire package can access the Talent Pool feature. This feature can be used to collect and manage a database of potential candidates, both from previous recruitment processes and from passive candidates. Through the Talent Pool, recruiters can easily store, group, and search for candidates for future recruitment needs without having to start the process from scratch.

Important
By default, this feature is accessible to Admin and Recruiter roles. If needed, you can change these access settings and learn how to do so here.

The following are the steps to manage the Talent Pool page on Mekari Talenta Recruitment.

A. Adding New Candidates to the Talent Pool

You can add candidates to the Talent Pool in two ways: by adding a talent or by moving candidates who have completed the final recruitment process from the Candidate page. Here's how to add new candidates to the Talent Pool outside of the recruitment process.

  1. Open Mekari Talenta Recruitment and select the “Talent Pool” menu.

  2. You will then be directed to the Talent Pool page. Click “Add talent” to add a new candidate to the Talent Pool list.

  3. Then, the following sidebar will appear. Prepare the candidate's CV to be submitted to the Talent Pool in PDF, JPG, PNG, or DOC format, with a maximum size of 10 MB. Then, click "Browse" and upload the CV.

  4. Then, the uploaded CV will appear in the Document name list. You can check "I agree to the Terms and Conditions" before clicking "Add talent".

    - You can select more than 1 (one) CV at a time in a single upload, also known as adding talent in bulk, with a maximum of 10 (ten) CVs.
    - You can delete uploaded CVs from the upload list by clicking "-".

  5. Next, wait for the candidate's CV/resume to be processed by the system.

  6. Once the system has finished processing your CV, you will be directed to the following page. On this page, you can edit, add, or complete the candidate information fields, if necessary. The first section consists of Personal Information.

  7. The second part consists of Identity & address.

    You can check “Same as citizen ID address” if the candidate has a Residential address (current residential address) that is the same as the Citizen ID address (domicile address).

  8. In the third and fourth sections, Formal Education and Informal Education, you can edit, complete, or delete information about formal and informal education by clicking the "three dots" icon. You can also add additional formal education by clicking "+ Add formal education", and to add additional informal education, click "+ Add informal education".

  9. Similar to the fifth section, you can edit, complete, or delete work experience information by clicking the three-dot icon. You can also add additional work experience by clicking "+ Add work experience".

  10. In the sixth section, you can change/complete the Compensation information by filling in Current salary per month and Expected salary per month

  11. In the seventh section, you can upload a profile picture by clicking “Choose file” and/or include a portfolio by clicking “Upload file”, then “Choose file” or including an “Online link”.

  12. The eighth section is Additional Information, which contains columns for Related Industries , Related Job Positions, and Tools. You can complete or select up to three answers from each column. Then, check "I agree to the Terms and Conditions" before clicking "Submit and continue."

    Important
    If there is any important information missing, the system will prompt your candidate to complete it. The required fields will be marked with red text, "Please complete all the mandatory fields". For example, under Formal Education, click the three-dot icon and then click "Edit".

    Next, ensure the fields marked with a red "*" icon are complete. Then, click "Save".

  13. Therefore, the candidate data is successfully added to the Talent Pool and gets a green notification “Talents added”.

B. Moving Candidates Who Have Passed the Final Stage of Recruitment to the Talent Pool

You can add candidates in the recruitment process from the Candidate page to the Talent Pool for future talent needs. Here's how to move those candidates to the Talent Pool.

  1. Open Mekari Talenta Recruitment and select “Candidates”.

  2. On the Candidates page, you can select one of the candidates to be moved to the Talent Pool by clicking the “three dots” icon.

    Important
    Candidates who can be moved to the Talent Pool are candidates in the Hiring stage of New Candidates, and Final Status categories such as Rejected, Archived, Spam, Blocked, and Withdrawn, except Hired.

  3. Then, click “Move to talent pool”.

  4. Therefore, the candidate is successfully transferred to the Talent Pool.

C. Managing Talent Pool List

You can perform various actions on the Talent Pool list, such as viewing detailed information, editing, moving to a Job listing, deleting, and so on.

  1. Open Mekari Talenta Recruitment and select “Talent pool”.

  2. Then, under the candidate's name in the Talent Pool list, click "Actions". You can then select the available action options.

1 View details Click to go to the candidate details page. On the details page, you can perform several actions, such as Edit data, Preview resume, Move to job listing, or Delete.
2 Edit data Click to edit candidate data, including Personal Information, Identity & Address, Formal Education, Informal Education, Work Experience, Compensation, Profile Picture, Portfolio, and Additional Information. Ensure candidate data is filled in correctly.
3 Preview resume Click to preview the candidate's CV/resume.
4 Move to job listing Click to move the candidate to the list on the Job listing page so they can be reprocessed into the recruitment process when their talents are needed by the company. You can complete the Job Position and Hiring Stage fields before clicking "Save".
5 Delete Click “Delete” to permanently remove the candidate from the Talent Pool. This means that this candidate's data cannot be recovered.
