How to Invite, Edit, and Cancel Assessments

In the recruitment process, after passing the Screening stage, the next step is generally to move the stage to the Assessment. At this stage, candidates are required to complete a series of assessment tests from the company's recruiter to whom they applied. Through Mekari Talenta, recruiters can invite candidates individually or in bulk to take assessments using the Invite Assessment feature. Additionally, under certain conditions, some features can help you change and cancel Assessments that have been sent. Here are the steps.

A. Invite Assessment

  1. Go to the “Candidate” menu.

  2. Click the “Screening” tab, then select a candidate's name.

    Important
    You can also invite candidates to take the assessment in bulk by checking the names of candidates. Then, click “Move to”, and choose one assessment you want to send.

  3. Then click “Move stage” and select one assessment you wish to send under the Assessment section.

    Important
    The next process can be done manually as shown in this guide. However, if you set Enable assessment, then after you move the stage, the system will automatically send the assessment URL/link to candidates applying for a specific job position. Learn the guide here.

  4. Next, the following display appears. Choose the location for the task, consisting of On-site and Online.

    - If you want candidates to complete the task On-site, you can fill in the office address and room details in the Office field.

    - If you want candidates to complete the task Online, you can enter the URL link in the Assessment link field.

  5. Next, fill in the Date and Time for the On-site Assessment if you want candidates to complete the task at the office.

  6. If you want candidates to complete the Assessment Online, fill in the Due date and Time fields as follows.

  7. Then you can check the toggle below to send the Invitation via email.

  8. Then, fill in the task instructions. These instructions will appear in the Invitation email to the candidate.

  9. Next, if needed, click “Choose file” to upload attachments. After the attachment is successfully uploaded to the system, you can click “Attach assessment file on the email” to include the attachment in the email sent to the candidate.

    In the Invite for Assessment form for certain test series that have been set, you may find an additional section that needs to be filled, namely the Assessment section, as follows.

    Explanation:
    1. Start date and Time (mandatory): Set the test start date and time. You must select a time at least 5 minutes ahead.
    2. Due date and Time (mandatory): Set the test end date and time. Choose the test closing time according to the test duration.
    3. Instructions (optional): Fill in with test instructions.

  10. Then specify the Assessor who will evaluate the candidate's Assessment. You can also add more than one Assessor by clicking “Add assessor”.

  11. Once all data is filled in, you can click “Preview email” to see a preview of the Assessment invitation email for the candidate.

  12. The email preview will appear as follows. Make sure all the contents are correct, then click “Send”.

  13. Next, click “Save”.

    - The scheduled Assessment that has been successfully uploaded can be Cancelled, Edited, and Submitted (to submit the results).

    - Currently, the Cancel and Edit actions can only be applied to Assessments that do not contain tests.

B. Edit Assessment

If you want to update the details of a scheduled candidate assessment invitation, you can use the Edit assessment feature available on the Candidate detail page. With this feature, recruiters can change assessment information (such as due date, changing assessors, or updating instructions) without having to cancel and resend the test invitation manually. Here is the explanation.

  1. On the Candidates page, select the stage Assessments, then choose a candidate's name from the list.

  2. Then, select the “Assessments” tab.

  3. On the assessment invitation you want to edit, click the “three dots” then select Edit assessment.

  4. Then, the following sidebar appears. You can change the details contained in the assessment invitation.

    Important
    - You cannot make changes or edits within 30 minutes before the assessment schedule starts, similar to the test cancellation rule. This is to ensure data consistency before candidates begin their assessments.
    - When details are changed, the previous test will be considered invalid (invalidated) and the system will automatically create a new test task. Additionally, the system will send an update email to the candidate containing the latest instructions or schedule details.
    - The details you can change are stage, assessment time, special notes in the email, attachments, test duration, and special test notes.
    - The test name cannot be changed. If you want to change the type of test, you must cancel the current invitation and re-invite the candidate.

C. Cancel Assessment

If the recruitment plan changes, you can use the Cancel assessment feature on the Candidate detail page to cancel assessments that have been sent to candidates. This feature allows recruiters to instantly stop the assessment process through the candidate's detail page.

  1. On the Candidates page, select the stage Assessments, then select a candidate's name from the list.

  2. Then, select the “Assessments” tab.

  3. On the assessment invitation you want to cancel, click “three dots” then select Cancel assessment.

    You can also collect assessment results by clicking Submit assessment result.

  4. Then, the following pop-up appears. Fill in the cancellation reason (mandatory), then click “Cancel assessment”.

    After cancellation, the candidate will automatically receive a cancellation email, and the previously sent test link will become invalid (cannot be accessed).

    Important
    - You cannot cancel within 30 minutes before the assessment schedule starts.
    - This feature is not available for candidates still in the New Candidate stage. Assessments can only be canceled if candidates have been moved to the next stage.
    - Cancellation can only be done one by one through the candidate detail page and is not available for bulk cancellation.

    Currently, the Cancel and Edit actions can only be applied to Assessments that do not contain tests.
