Through Talenta, you can set approval to manage the path and approval layer of various requests from employees. One of these requests is the Task and Time tracker request.
You can set up approval for Task and Time tracker by following these steps.
- Go to the Settings menu .
- Click the ESS tab and select the Approval tab.
- Click "Edit" in the Approval section to set the approval path.
Enhancement of mobile live attendance approval follows the attendance request approval setting in ESS setting.
- Then a pop up like this will appear . Here, you can add a list of who (subject) the approval setting applies to by clicking "Add More" .
- The Setting column is used to select to whom (subject) this approval setting will apply. Users can make settings with several options (all employees, jobs, organizations, job levels, employee IDs, branches).
- Select Setting for all employees , then the Value column will automatically become a grey area.
- If you select Job, you need to select the Job Position you want to set the approval for (CEO, HRD Staff, etc.).
- The SBU option only appears in Overtime Request, Overtime Planning, Time Off Request, Change Shift Request,Attendance Request, Add Employee, Request Change Data, and Employee Transfer. - Fill in the specifications according to the settings that have been selected in the settings column in the Value column.
- If Auto Ascend is checked, if the approval for the job position is empty, the request will be forwarded to the job position in the layer above it (related to the approval rule settings in point no. 15).
- In the Position column, there is Up Down which functions to move the order of the subjects. In the example image below, if you click "UP DOWN" on the Employee ID subject, the position of the employee ID will move down and the All Employees subject will move up.
Here is an explanation of how the system reads the request sequence position:
Example:
Subject Sequence 1: Employee ID; Value: TDI-000 Surya Trijaya
Subject Sequence 2: Job Level; Value: Head
If employee A has a job level as Head, then the system will select from sequence 1 first, does employee A fall into the category of subject sequence 1?
If not , the system will continue the selection process to the next request sequence position, until the system finds a subject that matches Employee A's position, which is in sequence 2, and applies the approval sequence that has been applied to those positions.
Therefore, it can be concluded, if you want to apply an exception (the approval path is different from the general one), you can put it at the top and can be sorted from the most specific to the most general (All Employees). - Click "Rule" to define the approver layer.
- The approval list can be created in more than one layer by clicking the "Add more" button on the approval rule page so that the request can only be approved if it has been approved by several levels of approval.
- Then, in the Setting column you can select approval based on Upper Job Position , Employee ID , or Consultant .
- Fill in the Request Type .
- Requested : Employees can make their own requests.
- Requester : Employees cannot make their own requests. - Fill in the Value column based on the Job Position level that the approval has.
Example:
- Value filled with 1: If the GA Staff requests time off, then the approval is the HRD & GA Supervisor.
- Value filled with 2: If the GA Staff requests time off, then the approval is the HRD & GA Manager. - Click "Close" to save.
- Click "Save" to save the approval policy changes.
