How to Manage Custom Fields for All Employees in the Settings Menu

Just like the my files category, companies can also add custom fields for employees. Custom fields are useful for employee information purposes. Complete employee information is essential for company data management. In Talenta, you can add additional information beyond what Talenta provides. Additionally, you can edit and delete custom fields that have been created.

Here are the steps.

A. How to Create a New Custom Field

  1. Go to the “Settings” menu.

  2. Click the Company tab, then select Custom Field.

  3. Click the “Employee info” tab, then select “Create employee field” to input the information you want to add.

  4. A Create field form will appear that you need to fill out as follows.

1 Field name Enter the name of the custom field you want to create.
2 Editing method

Select the access setting for how data changes can be made:

  • Only admin can edit: Data in this column can only be changed or filled in by the Admin. Regular employees do not have access to edit it.
  • Employee self-editing: Employees are allowed to change or update the additional information in this column independently through their accounts.
  • Employee transfer: Specifically for the dropdown column type, data in this column can only be changed through the employee transfer page (Employee Transfer).
  • Only editable via API: Data is locked from all application views and can only be updated automatically through external system integration (API). Neither Admin nor employees can edit it manually.
3 Show on Choose where this field will be displayed, such as My Info or CV.
4 Field type

Determine the type of this field.

- Text input: Text input field type.
- Text area: Text area field type.
- Dropdown list: Dropdown selection field type.
- Datepicker: Calendar field type.
If you select Dropdown, you need to specify the options available for this custom field. Set the number of options by clicking “+ Add option” or click the “-” icon to add or remove options. Then, give each option a name.

- Date: Date field type.
Example: custom field date = resign date + 1
November 9, 2024 + 1 = November 10, 2024
- Number (days): Field type where the input is a number (total days as a number).
Example: number (days) + join date:
1 + March 16, 2024 = 3159 days (counted as of today, November 8, 2024)

  1. Then, click “Create”.

  2. A pop-up will appear indicating the custom field has been successfully created and can be filled via Employee bulk update.

    Important
    The custom field you create can be linked to other features such as Informal education. By doing so, the data will not be displayed in My Info or linked to the employee.

B. How to Edit, Delete, and Clear Employee Fields

  1. Still on the Custom field page under the Employee info tab, you can take actions on the Employee fields you have created in the list. For any field you have created, click “Actions”. You will see several action options as follows.

  2. To modify a field, select “Edit”. The Edit field form will appear as shown below.

    - A yellow notification may appear to inform you that the field cannot be edited because there is an ongoing Employee transfer.
    - You can delete options in the Dropdown Field type if there is no ongoing Employee transfer.

  3. Then, save the changes by clicking “Save changes”.

  4. To delete an Employee field from all selected features, click “Actions” then “Delete”.

  5. A pop-up will appear as follows. You can click “Delete” to confirm the deletion.

  6. To clear the contents of an Employee field you have created, click “Actions” then “Clear field”.

  7. A pop-up will appear as follows. You can click “Clear” to confirm the clearing.

C. How to Add Feature Fields

  1. Go to the “Settings” menu.

  2. Click the Company tab, then select Custom Field.

  3. Click the “Include on feature” tab, then select “Create feature field” to input the field information you want to add.

    As a note, currently users with the Super Admin role can manage informal education based on custom fields if the Show on selection is Informal education.

  4. A Create feature field form will appear that you need to fill out as follows.

Select where this field will be displayed, such as Informal education, Overtime, or Reprimand.

3 Custom field type

Determine the type of this field.

- Text input: Short text column type.
- Text area: Long text column type.
- Dropdown list: Dropdown selection column type. If you select Dropdown, you need to specify the options available for this custom field. Set the number of options by clicking “+ Add option” or click the “-” icon to add or remove options. Then, give each option a name.

If you select the Feature page Reprimand, you will be asked to provide a description for each option as shown below.

- Date: Date format field type. You can select the date format provided as follows.

- Number (days): Field type where the input is a number (total days as a number).

4 Required field Check this to make this custom field mandatory for employees to fill out when completing the form.

D. How to Edit, Delete, Activate/Deactivate Feature Fields

  1. Still on the Include on feature tab page, you can take actions on Feature fields you have created by clicking “Actions” on any field you have created.
     

  2. To modify the settings of a Feature field you created, select Edit.

  3. You will see the Edit feature field form as follows. You can change the information in the available fields, then click “Save changes” to save the changes.

  4. To delete a Feature field you have created, select Delete.

  5. A pop-up will appear as follows. You can click “Delete” to confirm the deletion.

  6. To activate or deactivate a field, select Activate/Deactivate.

  7. A pop-up will appear as follows. You can click “Activate” or “Deactivate” as needed.

Next, you can add the custom field information you created in bulk through bulk import in the Employee menu. This feature will make it easier for you to add information to employees all at once.
