Companies can do Auto Generate Format, where this will be related to Employee ID numbering, where when adding new employees, the number made will be automatically formed according to the format you have set in the Auto Generate format section.
Here are the steps.
Go to the Settings menu.
Click the "Auto generate formats" tab in the Company section.
Then click “Create format”.
You can specify “Employment status condition” to add employee status information.
-
Then select the employee status you want.
If you choose Two or more employment statuses, such as Probationary and Permanent, will continue the Employee ID for both positions. For example:
- Employee A with Permanent status is registered with Talenta with Employee ID JKT001
- Therefore, the next employee with Permanent/Probationary status registered with Talenta will have Employee ID JKT002. You can select the Text component to enter the formatting in text/letter form.
-
Select Incremental Number to enter the formatting in numeric form that will increase automatically.
You can slide the Advanced Options button to add additional options such as:
- Length: To determine the length of the Employee ID character.
- Padding: To determine the continuation of the initial character in the Padding section with only one character. -
In addition, there are six format components: Text, Promotion Number, Join Date, Branch Code, Organization Code, and Job Position Code. You can also click “Add component” to add other formatting components.
- You can click here to set the Job Position Code.
- You can click here to set the Branch Code.
- You can click here to set the Organization Code. -
You can also select the Join date component to enter the format according to the employee's joining date at the company.
You can select the date format in the provided field.
Additionally, you can add Branch code, Organization code, and Job position code. However, these three fields will remain unchanged and will be automatically filled in according to the employee's Branch Code, Organization Code, and Job Position Code.
You can also preview the Employee ID format in the Format preview section.
If you select the Join date component, you can set Auto ID Reset, which allows you to set a reset schedule for the employee ID sequence pattern to align with company policy.
Check the Auto ID Sequencing checkbox to allow the system to automatically create and assign employee IDs based on specific categories such as Branch, Job Title, Organization, and Job Level.
-
Once you have completed your settings, click "Save" to save them.
The Employee ID automatically generated by this system is only valid for adding new employees through the "Add Employee" transaction (one by one). It is not valid for bulk employee imports.
The Employee ID you created will appear as follows.
You can change an existing employee ID by clicking “Action” then selecting “Edit”, or you can also delete it by selecting “Delete”.
