How to Manage Files (Documents) on Talenta

In this section, you will learn how to manage all documents owned by the company, both those distributed to employees and other company documents.

Here are the steps:

A. Company Files

Company Files is a tab that serves to manage documents owned by the company.

  1. Go to the Company menu.
  2. Select Files.

  3. Select the Company Files tab.

  4. Click “Add New”.

  5. Enter the name of the file you want to share in the File Name column and set the document publication date in Publish Date.

  6. Click "Choose Files" to select the files you want to share and in the Share to column, select Share to All Employees to share with all employees or Select Employee to select specific employees.

  7. Tick Send email & push notification after file uploaded, if you want to send an email and notification and tick Send file reminder notification if you want the employee or person assigned to receive the file to get a reminder notification at a certain time.

  8. Tick Default add to new employee, if you want the uploaded file to be received by new employees as well. However, if you do not tick it, then the new employee will not get the file. Default add to new employee can be ticked if in the Share to column, you select All Employee.

    - Super admin and admin can perform several actions on uploaded documents such as: Download to download the document, Edit to change the document or Delete to delete the document.
    - The uploaded files can be downloaded by employees through the ESS account from the My Files menu. You can see the list of documents as follows.

B. Employee Files

Employee Files is a tab that serves to manage documents owned by employees.

  1. Go to Company menu.
  2. Select Files.

  4. Then a list of documents that have been saved or uploaded by employees through the My Files feature will appear.

  5. Click "Employee Files" to enter each employee's My Files feature.

  6. Click "Download File" to download the document.

C. Other Files

Company files is a tab that serves to manage other documents.

  1. Go to the Company menu.
  2. Select Files.

  3. Select the Other Files tab.

  4. Click “Drop files here, paste or browse" to upload the document.

  5. You can see the list of other documents as follows.

    You can see 3 different statuses in the file list, namely:
    Need completion: This means this file is used in another feature. Apart from that, it could be that this file has been  uploaded  to the system but has not been saved. Or, this file is directly  uploaded  via other files. Case example: This file has been uploaded in  the announcement which has not been saved.
    Complete: This means this file is used in another feature and has been saved. Case example: This file has been uploaded and saved in an announcement.
    - Delete: This means that the entity in another feature to which this file is attached has been deleted. Case example:  The announcement  containing this file attachment has been deleted.

  6. To delete a document, tick the document you want to delete.
  7. Then click "Delete".
