How to Perform Mass Employee Resignation (New Interface)

Mass Resignation with the new interface is a feature that makes it easier for HR to resign multiple employees at once. Usually, companies conduct mass resignations due to urgent unforeseen circumstances, branch closures, or the completion of fixed-term employment contracts (PKWT).

Through Mekari Talenta, there are 2 (two) ways to perform employee resignation: directly selecting the employees to be resigned in Talenta (Select employee) and importing data from an Excel file containing the names of employees to be resigned (Import).

Here are the steps.

A. Select Employee

  1. Click the "Employees" menu then select Employee directory.

  2. Then, click “Mass Resign”.

  3. Enter the employees who will resign by clicking “Select employee”.

  4. A sidebar will appear as follows. Select the names of employees who will resign in the left column (Employees). After the selected names move to the right side (Assigned employees), click “Select employee” to continue.

    You can use the following features:
    - Search bar: This feature is available in the Employees and Assigned employees name lists. You can search for a specific employee by typing their name in these columns.
    - Filters: Use this feature to filter employee names based on certain categories, such as branch, job position, and others.
    - Add all: Click to select all employee names in the Employees list.
    - Clear selection: Click to remove all names that have been added to the selected list (Assigned employees).

  5. The selected employee names will appear in the Resigned employees list as shown below.

  6. You can click “Batch fill” to fill in data such as Resign date, Resign reason, Merit pay, Severance, Compensation pay, Time off balance, Amount per day, Time off compensation, Document template, Enable offboarding, and Notes in bulk.

  7. Then, to apply the bulk data entry to the employee list, you can choose “Apply to selected” if only some employee checkboxes are checked. Or, select “Apply to all” if you want to apply the data entry to all names on the list.

  8. Additionally, you can enter data individually for each employee name. First, fill in the effective resignation date in the Resign Date column.

  9. Next, specify the reason for resignation in the Resign reason section.

  10. Enter information for Merit Pay, Severance, and Compensation Pay if applicable.

    This section will automatically fill if there are existing settings regarding Merit pay, Severance, and Compensation pay that have been configured.

  11. In the highlighted section below, the employee’s remaining balance (Timeoff balance), the number of remaining leave days that can be cashed out (Amount per day), and the amount of leave compensation (Timeoff compensation) are displayed according to Mekari Talenta system calculations.

  12. Next, if needed (optional), select the document template that the employee is required to fill out. You can create this template by following the guide article here.

  13. Additionally, you can enable the “Enable offboarding” button to activate the offboarding feature for the employees who are being resigned. Learn the guide here.

  14. You can also add specific notes that can be viewed by the employee in the “Notes” field.

  15. Then, to view assets lent to the employee, click “View Assets”.

  16. Click “View Loan” to see the details of the employee’s loan.

  17. If you need to remove an employee’s name from the list, click the “-” icon.

  18. If the entered information is complete, click “Submit” to continue the mass resignation process.

  19. Next, a pop-up will appear to confirm your action as follows, stating that this action will affect the approval level and payroll. To confirm, click “Proceed”.

B. Import

  1. Click the "Employees" menu then select Employee directory.

  2. Then, click “Mass Resign”.

  3. Click “Import” to start the process of importing data of employees to be resigned.

  4. Click “Download template” to download the Excel template you will use.

  5. Then, in the successfully downloaded template, enter the required information as shown in the example below.

    Template Column Filling Guide:
    - Employee ID (Required): Enter the employee ID as registered in the Talenta system. The format should be text (example: 26020231).
    - Resignation date (Required): Enter the effective date of the employee’s last working day. The date format must be YYYY-MM-DD (Year-Month-Day).
    - Resignation reason (Required): Enter the employee’s reason for resignation. The text must exactly match the options available in the 'Valid Resign Reasons' tab.
    - Merit pay (Rp) (Optional): Enter the amount of Service Reward Money (UPMK) in numbers only (no dots/commas/Rp symbol). Leave blank if you want the system to calculate automatically.
    - Severance (Rp) (Optional): Enter the severance pay amount in numbers only. You can leave it blank to use the system’s automatic calculation.
    - Compensation pay (Rp) (Optional): Enter the Compensation Money (UPH) amount in numbers only. Leave this column blank for automatic calculation by the system.
    - Time off balance (days) (Optional): Enter the employee’s remaining leave days in numbers only. This column can also be left blank for automatic calculation.
    - Document template (Optional): Enter the name of the document template as text. Leave blank to use the default template.
    - Enable offboarding (Optional): Specify whether to activate the offboarding process using Boolean format (0/1). Enter 1 for YES (TRUE), or leave blank/enter 0 for NO (FALSE).
    - Notes (Optional): Additional notes column with free text. Fill it if there is extra information to record, or leave blank if not needed.

  6. Then, upload the filled template by clicking “Browse”. Alternatively, you can drag and drop an XLSX format file into the Upload template box.

  7. Once the file is successfully uploaded, click “Import”.

  8. After the import is complete, the system will display the data in a list as shown below, and if the information is correct, click “Submit”.

    If you want to add more employee names, you do not need to change the Excel file; just click “Select employee”.

  9. Next, a pop-up will appear to confirm your action as follows, stating that this action will affect the approval level and payroll. To confirm, click “Proceed”.
