How to Manage Multi Company Employee Transfers

Multi-company employee transfer can be used to record activities such as promotions, mutations, rotations, demotions, and changes in employee status within multi-company organizations. Multi-company refers to a business structure where a single entity operates several different companies or business units under an integrated corporate umbrella.

Important
Make sure you have first added the employee data for the employee you want to move/transfer into Talenta.

In this guide, you will learn how to manage employee transfer information within a multi-company scope manually and via bulk import. Here are the steps.

  1. Select the “Employees” menu and then click Employee directory.

  2. Next, click Multi company transfer.

  3. After that, click “Create Transfer”. On this page, you can also see the history list of employee transfers that have been performed.

    - Transfer in: Click to see the list of employees transferred into this company profile.
    - Transfer out: Click to see the list of employees transferred out of this company profile.

  4. You can transfer employees in 3 stages. The first stage, Select employee, is explained as follows.

No. Column Name Description
1. Employee Select the names of the employees you want to transfer.
2. Transfer to Select the destination company where the employee will be transferred.
3. Effective date Select the effective date of the employee’s transfer.
4. Transfer type Select the type of transfer, such as promotion, mutation, rotation, demotion, or change in employee status.
  1. Once the employees to be transferred have been selected, click “Continue”.

  2. In the second stage, Fill employee data. Here, you can review and update (if necessary) the available fields for the employee information shown at the top of the page. There are several categories of Employee data, explained below.

No. Column Name Description
1 Personal data Data you can update in this section includes Email, Birthday, Marital status, and Religion.
2 Employment data Data you can update here includes Employee ID, Employment status, Join date, Branch, Organization, Job position, Job level, and Schedule.
3 Payroll data Data you can update here includes Basic salary, PTKP status, Tax method, Tax salary, and Employment tax status.
4 Loan Displays the amount of loans previously taken by the employee based on the latest record in the system. You can update this data by entering the latest amount in the Remaining loan field.
  1. If you are transferring more than one employee, you can click the page number or the “<” and “>” icons. Once the Employee data has been updated, click “Continue”.

  2. In the third stage, you can set the leave balance (Time off) and reimbursement on the Transfer balance page. Here is the explanation.

    1. Select time off policy Click to add and select the leave policy balances that will be transferred along with the employee.

    The next step is to determine one of the leave policies that apply at the destination company for the transferred leave balance.
    2. Select reimbursement policy Click to add and select the reimbursement policies that will be transferred along with the employee, following the same steps as selecting the Time off policy.
  3. All selected leave and reimbursement balances will appear as shown below. You can remove any selected items by clicking the “-” icon. If the selected list is correct, click “Continue” to proceed to the next multi-company employee transfer stage.

  4. In the fourth stage, on the Preview transfer details page, you can review the updated employee transfer data by clicking the “down arrow” icon to expand the data section. Also, make sure you have performed Run payroll so that no employee salary is missed.

    You can check several Notifications options, such as:
    - Send email to their manager: Check this to have the system automatically send an email notification to the employee’s manager.
    - Send email to the super admin of the new company: Check this to have the system automatically send an email notification to the Super Admin of the new company.

  5. Click “Save” to save all data.

  6. A confirmation pop-up will appear as shown in the image below. You can enter your password in the Password field before clicking “Confirm”.

    If you click Cancel, a pop-up will appear as shown below. To cancel your action, enter your password in the Password field before clicking “Cancel”.
