How to Manage Multi Company Employee Transfers

Multi company employee transfer can be used to record employee promotion, transfer, rotation, demotion, and status change activities in multi companies. Multi company is a business structure where a single entity operates several different companies or business units under a unified corporate umbrella.

Important
Make sure you have added employee data first if you wish to move/transfer employees through Talenta.

In this guide, you will learn how to manage employee transfer information in a multi-company scope manually and bulk import. Here are the steps.

  1. Go to “Employees” menu then click Employee directory.
  2. Then, click "Employee transfer" and Multi company transfer.

  3. After that, click “Create Transfer”. On this page, you can also see a list of employee transfer history that has been done.

    - Transfer in: Click to see a list of employees transferred into this profile company.
    - Transfer out: Click to see a list of employees transferred out of this profile company.

  4. You can transfer employees through 3 stages. The first stage, Select employee. Here is the explanation.
No. Column Name Description
1. Employee Select the names of the employees you want to transfer.
2. Transfer to Select the company destination where the employee will be transferred.
3. Effective date Select the effective date the employee is transferred.
4. Transfer type Select the transfer type, such as promotion, transfer, rotation, demotion, or change of employee status.
  1. In the second step, Fill employee data. Here, you can check and update (if necessary) the available columns of the employees whose information is listed at the top of the page. There are several categories of employee data, here is the explanation.
No. Column Name Description
1 Personal data The data that you can update in this section includes Email, Birthday, Marital status, and Religion.
2 Employment data The data that you can update in this section includes Employee ID, Employment status, Join date, Branch, Organization, Job position, Job level, and Schedule.
3 Payroll data The data that you can update in this section includes Basic salary, PTKP status, Tax method, Tax salary, and Employment tax status.
4 Loan Displays the amount of loans ever made by the employee based on the last record in the system. You can update the data by listing the latest amount in the Remaining loan column .
  1. If there is more than one employee you are transferring, then you can click the page number or the “<” and ">” icons. When the Employee data has been updated, click “Continue”.
  2. Then in the third step, on the Preview transfer details page, you can recheck the updated employee transfer data. Also make sure you have done Run payroll, so that no employee salaries are missed.

    You can check several Notifications options , such as:
    - Send email to the transferred employee's manager: Check to have the system automatically send a notification email to the employee's manager.
    - Send email to Super Admin of the new company: Check to have the system automatically send a notification email to the Super Admin of the newest company.

  3. Click “Save” to save all data.
  4. Then, there is a confirmation pop-up as shown in the image below. You can enter your password in the Enter password to continue column before clicking“Transfer”.

    If you click Cancel, there will be a pop-up like the following. To cancel your action, enter the password in the Enter password to continue column before clicking "Cancel".
