How to Make a Reimbursement Request by Superadmin/Admin

If you have the role of Superadmin or Admin, you can add a new Reimbursement policy via the Finance menu, the Reimbursement submenu.

Here are the steps

  1. Go to the Finance menu, and select Reimbursement.
  2. Click “Request” .
  3. Then you will be directed to the list page of all Reimbursement requests. Click the "Request Reimbursement" button.
  4. Fill in the application details.

    1 Request date Specify the request date here.
    2 Reimbursement name Select the name of the reimbursement that was created and then select the employee name.
    3 Employee name Select the employee's name.
    4 Attachments

    Select the attachment by clicking "Choose file".

    Attachments can be PDF, JPG, PNG, or JPEG, with a maximum file size of 10 MB.

    5 Attachment file The attachments you have selected will be listed here. You can download them by clicking the  “download” icon, or delete them by clicking the  “-” icon.
    6 Description Add reimbursement description here.
  5. Add benefit components by clicking “Add benefit”.
  6. Select  the benefit name  from the list  on the left. Then, the benefit you selected will move to the right. Click “Save” if it is correct.
  7. Therefore, you can fill in the Request amount (number of requests) and Paid amount (amount paid) for the selected benefit. Click "Submit" when appropriate.
  8. Then, you will be directed to the All Requests page. Here, you can see the entire list of reimbursement requests that have been made along with their information and status. You can use filters to make the list more specific.

    Click “Action” to perform various actions on the reimbursement based on its status.
    - Disbursed: The reimbursement request has been paid. Therefore, you can only see the details (View details)  as follows.

    - Approved: The reimbursement request has been approved by the approval column. Hence, you can only see the details (View details).
    - Awaiting disbursement: The reimbursement request is waiting to be paid. Therefore, you can only see the details (View details).
    - Awaiting approval: The reimbursement request is waiting for approval from the PIC of the reimbursement approval column. If the PIC is you, then you can perform the following actions.

    - Cancelled: The reimbursement request has been canceled. Hence, you can only see the details (View details) .
    - Rejected: The reimbursement request was rejected by the PIC of the reimbursement approval column. Therefore, you can only see the details (View details) and do Editing only.
