How to View Time Off Balance Report (New)

You can see the balance of employee leave and the validity period of the leave in the Log History Time off which is on the Time Off sub-menu. This information can only be accessed by users with Superadmin or Admin role access.

Here are the steps:

  1. Go  to the Time Management menu, select Time Off and Time off balance.
  2. Click “Log History” on the leave policy.

A. Overview Balance tab

  1. Then you will be directed to the Overview Balance page display, as follows.

    In the hourly time off display as shown in the image below, the information displayed in the list is in the form of hours and minutes.

  2. Here you can filter by employee leave period.

  3. You can also filter based on other employee leave policies.

  4. Select  Filter  to select employee conditions based on Status, Branch, Organization, Job Position,  and Job Level .

  5. Then click "Apply Filter" .

  6. Then you can see a detailed list of employee leave balances, based on the conditions you have filtered, as follows.

  7. If you hover over the numbers in Time Off Taken, Adjustment, Expired, and Carry Forward, a pop-up will appear as follows.

  8. Click on the numbers in Time Off Taken, Adjustment, Expired, and Carry Forward to see detailed leave balance details.

  9. Then the details of the leave balance will be displayed as follows.

    In the hourly time off display as shown in the image below, the information displayed in the list is in the form of hours and minutes.

  10. Click  "View details"   to see detailed employee leave information.

  11. Additionally, you can click  “Export”   to download the report into  Excel.

  12. Use the  Search  column to search for employee names.

B. Log Balance Tab

  1. To see a detailed list of employee leave balances, select the  Log Balance tab.

  2. Then details of employee leave balances will be displayed based on the conditions you have filtered, as follows.

  3. Click  "View Details"   to see detailed employee leave information.

    Here is the explanation of the information given in View detail:
    Time off request: Balance time off used by employees  through the request time off feature via mobile apps or the web.
    - Transaction: Balance time off which is adjusted to increase or decrease by the admin by creating a balance update transaction.
    - Import balance: Balance time off which is added or subtracted by the admin with the import balance feature.
    - Generated: Balance time off which is increased automatically  according to policy provisions
    - Carry forward: Balance time off which is increased.
    automatically based on the provisions of the carry forward policy for the leave.
    - Expired: Balance time off which expired due to expired automatically according to the provisions of the policy, expired automatically according to the provisions of the carry forward, and expired policy .
    - Edit attendance: Balance time off which was due to the admin assigning time off via attendance editing and attendance import features.

C. Block Leave tab

  1. If you activate the Block leave policy, you can view the history of employees whose block leave applications have been approved by selecting the Block leave tab.
  2. On this page, you can see a box summarizing Block leave details based on Annual or Anniversary renewal time-off. Here, you can see the following descriptions:
    - Employee has taken = employee who has taken block leave. 
    - Employees need to take = Employees who are eligible but have not yet taken block leave. 
    - % of employees have taken = Percentage of the total number of employees who have taken block leave. 
    - Non-eligible = Employees who are not yet eligible to take block leave according to the arrangements made.

    - You can update the data displayed in this box by clicking "Update latest data".
    - You can see how many employees need to take block leave by clicking on the number. Therefore, a pop-up containing details of employees who have not taken block leave appears as follows.

  3. In addition, you can view the list of employees whose block leave applications have been accepted and manage the list.
