How to Delete and Edit Employee Attendance Data per Employee

In Talenta, you can perform actions such as deleting and editing attendance data per employee or in bulk, which can be done in the Attendance menu. Follow the steps below to delete and edit employee attendance data per employee:

A. Deleting Attendance Data

  1. Go to the “Time” menu, then select Attendance.

  2. You will be directed to the Attendance data page. On the attendance data list you want to delete, click “Actions,” then select Delete to delete the attendance.

  3. Alternatively, you can select multiple employees by checking the check box next to the employee names. Then, click “Delete attendance” to delete.

  4. The employee attendance data such as leave, overtime, and break will be deleted. Then the shift will be reset according to the assigned schedule.

B. Editing Employee Attendance Data

1. Weekday/Workday Attendance Data

  1. You will be directed to the Attendance data page. On the attendance data list you want to edit, click “Actions” then select Edit to modify the attendance.

    Important
    If there is a “clock” icon on the employee attendance data as shown below, it means the employee’s overtime hours will be processed by the system as additional overtime leave balance (overtime leave), not paid in cash. You can change this if needed.

    If the compensation should be overtime pay, Super Admin/Admin can easily revert it back on the Edit Attendance page via the ‘Revert overtime leave’ option.

  2. In the attendance data, specifically the employee’s Attendance, you can change the time and time zone in the “Clock in” (check-in), “Clock out” (check-out), “Break start” (break start), and “Break end” (break end) fields, and use the “Clear” button to remove all time entries at once.

    If needed, you can change the employee’s “Shift” for that day.

  3. In the Time off attendance data, you can change the leave policy for the employee on the selected date. Click “Time off policy” to select the type of leave and specify the leave time in the next field. Additionally, you can click “Clear” to delete the Time off data changes you have entered.

  4. In the attendance data, specifically the Overtime section, the ‘Revert overtime leave’ feature is used to change overtime leave compensation back to overtime pay. Also, click ‘Clear’ to delete all overtime data for that day, and use the Overtime duration and Break duration during overtime fields to set the total overtime duration and break time, both before the shift starts (Before the shift starts) and after the shift ends (After the shift ends).

  5. Once changes to the attendance data are made, click “Save” to save.

2. Weekend/Holiday Attendance Data

  1. You will be directed to the Attendance data page. On the attendance data list for holidays (day off) that you want to edit, click “Actions” then select Edit to modify the attendance.

  2. Next, fill in or change the Schedule in, Schedule Out, Clock in, Clock out, Break start, and Break end fields. The data you change also includes the time zone. Additionally, you can click “Clear” to delete the Attendance data changes you have entered. The “Schedule in” and “Schedule out” fields you fill in will automatically accumulate the “Total duration” in the Overtime section. In that section, you can also fill in or edit the break time during overtime in the “Total break duration” field.

  3. In the Time off attendance data, you can change the leave policy for the employee on the selected date. Click “Time off policy” to select the type of leave and specify the leave time in the next field. Additionally, you can click “Clear” to delete the Time off data changes you have entered.

    Important
    - Besides the Full day leave option, you can also choose other options such as Half day before break (half-day leave before break time) and Half day after break (half-day leave after break time).
    - You can also select the leave policy Hourly (Leave Per Hour). If you choose this policy, you must specify the request type option in the Request type field, either Daily (hourly leave counted as daily leave) or Hourly (hourly leave counted per hour).
    - If you select Daily, you can choose whether the daily leave count is Full day, Half day before break, or Half day after break.

    - If you select Hourly, you can specify the leave start time in the Time off start field and the duration of the hourly leave in the Duration field. You can add additional Hourly leave on the same day by clicking “Add time off”.

  4. Once changes to the attendance data are made, click “Save” to save.
