In the Manpower Planning feature in Talenta, there are three roles that can access this feature: Superadmin, Admin with access to all menus, and certain Employees who are given access only to the Requisition menu. Before use, access for each role needs to be configured so users can view and submit Headcount and Replacement requests. In addition, these requests include a form that can be customized. The following are the steps to configure it.

A. Giving Access to the Superadmin and Admin Roles

  1. Go to the “Employees” menu, then click Manpower planning.

  2. Then, on the Settings tab, click Access roles.

  3. Click “New” to create a new access role.

  4. Enter the role name in the Role Name field.

C. Changing Form Settings

  1. Go to the “Employees” menu, then click Manpower planning.

  2. Then, on the Settings tab, click Form settings.

  3. To change the form settings for requests, click “Edit”.

  4. In the System-mandatory fields section, there are several fields in the request form that cannot be disabled, such as Job position, Employment start period, Headcount requested, and Employment status. Therefore, anyone submitting a headcount or replacement request must complete these fields.

  5. Next, in the Configurable fields section, you can configure the visibility and completion requirements for fields in the request form, including Job level, Organization, Branch, SBU Group/SBU, Workplace type, Description, and Attachment. The toggle “Enabled/Disabled” is used to show or hide a field in the form, while the “Mandatory” checkbox determines whether the field must be completed by the user. If the “Enabled/Disabled” toggle is enabled but the “Mandatory” checkbox is not selected, the field will still appear in the form as optional.

  6. In the Approval behavior area, you can click the toggle Enabled/Disabled to enable or disable the Approver attachment field. On the other hand, the Approver notes option is always enabled, but its completion requirement—mandatory or optional—can be customized using the checkbox Mandatory setting.

  7. You can enable the toggle Allow exceed planned headcount to determine whether an employee request can exceed the initial planning limit. Therefore, the quota limit only applies if planning data for the relevant position and period is available. Changes to this setting will apply to all forms and new requests, while requests submitted previously will continue to follow the previous rules.

  8. When the form settings are configured as desired, save the changes by clicking “Save changes”.
