How to Create and Manage Payslip Template Settings

With the Plus and 360 packages, you can customize the Payslip template. With this feature, you can modify the payslip for a more customized payslip display, such as: 
- Create several payslip templates with different effective periods and also select certain employees. 
- Show/hide payroll components and THP. 
- Sort components to display on the payslip. 
- Add a signature to the PDF payslip. 
- Load more than one additional data/additional field in PDF. 
Here are the steps to create and manage payslip template settings through Mekari Talenta.

  1. On the Talenta Dashboard, go to the Settings menu.

  2. Then on the Payroll tab, click "Payslip templates".

A. Creating a Payslip Template

  1. To create a payslip template, click “Create template”

  2. Then, you will be directed to the following page. Fill in the required information fields.

1 Template name Enter the template name.
2 Description Fill in the template description (optional).
3 Effective period

Fill in the effective month for this payslip template.

Check Set expiration date if this template has an end date for application. If you check it, you are required to enter the Expiration period date.

4 Cancel/Continue

Click "Cancel" if you cancel creating the template.

Click “Continue” to continue creating the template.

  1. In the next section, you can select the employees who will receive this payslip template by clicking “Assign employee”. 

  2. In the sidebar that appears, click on the names of the employees in the left list until they move to the right list. Then, click “Done”. 

    You can use the Search bar to search for a specific employee name. Or, “Filter” to filter employees by a specific category.

  3. The employee names that appear will be listed in the Employee assignment section. You can make sure the selected names are correct. If there is a discrepancy, click the “-” icon to delete the name. Or “Update employee” to add or remove other employee names. Click “Continue” to go to the next page. 

    - You can filter the list of selected employee names based on Branch or All filters

    - Then, you will be directed to a more detailed filter window. You can add filters by clicking “Add filter” based on many categories, such as branch, organization, job position, etc. Then, check the types one by one. Click “Apply filter” to apply the filter. 

  4. In this section, you can customize the payslip. Every customization you do can be checked in the preview window (arrow). Here is the explanation.

1 Period format

Select the payslip period based on:

  • Monthly period: Click to apply payslip period based on monthly.
  • Payroll cut-off date: Click to apply payslip period based on cut-off date.
2 Employee information You can determine which employee information is displayed on the payslip by enabling or disabling the Displayed toggle for each piece of information.
3 Set earnings components

Click to specify which income components are displayed on the payslip. Then, the following pop-up appears. You can select List of components in the left column to move to the list selected on the right. 

 

- Search bar: To search for components in each column. 
- Clear selection: Clear the entire selected list. 
- Six dots: To move up and down the list order. 
- Super admin view: Tick if the component can be seen by Super admin. 
- Employee view: Tick if the component can be seen by Employee. 
- Assign component: To apply the selected component in the right list.

4 Set additional earnings

Click to determine what additional income components are displayed on the payslip. 
 

The way to add additional earnings is the same as Set earnings component table No. 3.

1 Set deductions component

Click to select which deduction components are displayed on the payslip.

The method for adding deduction components is the same as the Set earnings component in the description of step 6.

2 Set additional deduction

Click to select what additional deduction components are displayed on the payslip. 
 

How to add additional deduction is the same as Set earnings component description in step 6.

3 Set benefits component Click to select which benefit components are displayed on the payslip.
4 Take Home Pay You can determine whether THP is displayed on the payslip or not by enabling or disabling the Displayed toggle.
5 Attendance & overtime information

Enable or disable the following Displayed toggles:

  • Attendance summary: Summary of employee attendance.
  • Attendance and overtime breakdown: Breakdown of employee attendance and overtime information.

1 Signature

Click to display the signature by enabling or disabling the following Displayed toggle :

  • Primary signature: The primary signature of the company. The primary signature is taken from the signature in the company setting, so it cannot be replaced with another PDF.
  • Additional signature: Other signatures belonging to the company.
2 Payslip notes Click to display notes on the payslip by enabling or disabling the Displayed toggle .
3 Additional information Click to enable or disable the Displayed Notes toggle.
  1. If the template is correct, click “Save” to save it.

B. View Details and Edit Payslip Template

  1. On the Payslip Setting page, you can see the details of the Payslip template that you have created previously. Click “Actions” then click “View details”

    In addition, you can also change the template that has been created by clicking "Actions" then Edit. Then, you will be directed to the same page as View details. 

  2. Then, you can see the details of the template on the Template details page. Here, you can see the complete details about the template and perform certain actions. 

    - Click “Actions” to Preview or Delete payslip.
    - Click “pencil” icon to edit the payslip.
    - Click “Update employee” to change the names of employees who are assigned or receive this payslip.

  3. You can click the Payslip Customization tab to change the customization of what information will be displayed on this payslip template. In each part of the payslip, you can change the information by clicking the “pencil” icon on each template. 

C. View Preview and Delete Payslip Template

  1. On the Payslip Setting page, you can see a preview of the Payslip template that you have created previously. Click “Actions” then click “Preview template”

  2. Then, the Payslip preview pop-up appears. You can see the Payslip template view from the Super admin or Employee Point of View by clicking the appropriate tab. 

  3. In addition, you can also delete the Payslip template that has been created by clicking "Actions" then Delete. 

  4. In the pop-up that appears, click “Delete” to confirm deleting the template.
