How to Set Up Smart Attendance Workflow

You can monitor employee attendance through the Smart Attendance feature via Mekari Talenta. With this feature, you will get notifications regarding employee attendance such as when employees are late, go home early, or are absent. Therefore, you can monitor employee attendance practically through these notifications.

To use this feature, make sure you have applied for Smart Attendance Notification. Learn how here.

Here are the steps to set up the Smart Attendance feature workflow.

  1. Go to the Settings menu.
  2. Click Workflows, then select Attendance.
  3. Then, you will be redirected to this page. You can see the remaining workflow quota in the highlighted section below.

    You can add the Attendance workflow quota by clicking the blue text “Request quota” or “Request workflow”. Then, the following pop-up will appear. You can complete your data on the form before sending it by clicking “Submit request”.

  4. In this section, you can choose specific templates. For now, you can use the Inform Late In Daily and Early Out Daily templates only. Click one of the “Use template” to use that workflow template.
  5. Here is an example of a workflow template form page. You can edit the available columns.

1 Workflow name Change the workflow name template if necessary.
2 Description Change the workflow description template if necessary.
3 Trigger name Change the trigger name according to the options provided, namely:
- Employee clocks in late
- Employee clocks out early
4 There are no specific criteria, it applies to all employees Check this option if you will receive this Smart Attendance notification from all employees. If you do not check it, then you can select specific employee criteria as follows.

You can select one of the employee criteria, such as Branch, Organization, Job position, and so on. The example above is a criterion based on Job position. Because you choose this criterion, you can select several specific criteria, such as IT Staff and other Staff.
You can add other criteria by clicking "Add criteria".
  1. In the Actions section, you can define settings for the criteria you have previously defined.

- Action Name: Select the action the workflow will perform when triggered. Currently, only Send notification is available.


Then, you can choose the available method.


- Push notification on Talenta app: Check to send push notifications to employee mobile devices via the Talenta app.

- Talenta inbox: Check to send notifications to employee inboxes within Talenta.

- Email notification: Check to send email notification to specified recipients.

2 Send notification to

This column is for checking the notification recipients. You can set the workflow in such a way as to notify:


- Employee: Suitable employee.

- Employee's manager: The employee's direct manager.

- Employee's approval line: The employee approval line above.

- Notify Others: Specific employees who need to be notified.

3 Add employee If you check Notify others, then you can select the employee’s name in the sidebar that appears. Then, click “Submit”.
4 Notification frequency Select how often notifications are sent, namely:
- Monthly
- or, Weekly

If you have subscribed to Smart Attendance, there are 3 (three) other options, namely:
- Daily
- Shift start
- Shift end

5 Notification weekly on If you choose Monthly, then specify the date in this column. Meanwhile, if you choose Weekly, you can specify the day in this column.
  1. Click “Save” to save the workflow.
  2. Hence, your response was submitted successfully.
  3. You can monitor the status of your workflow submission in the Workflows - Attendance column as follows.
