How to Manage Document Templates and Integrated Mekari Sign

If you have integrated Mekari Talenta and Mekari Sign, you can perform several actions on documents between these two applications. You can take actions such as sending documents with electronic signatures or signing the documents. These documents can then be exported for all employees.

Here are the steps to send documents for signature and view their history.

  1. Go to the Productivity menu, then select Document Templates.

  2. Click “Generated documents”.

  3. On the Generated documents page, you can apply filters to the list based on time filters, template type, specific employee categories, and document or Mekari Sign status. Additionally, there is a summary section showing the number of documents by status below the filter columns. You can also see the Mekari Sign integration status in the Mekari Sign status column. Finally, you can perform several actions on the templates based on their status by clicking “Actions”.

     

    Explanation of Mekari Sign statuses:
    - No document sent: The document has not been sent.
    - Partially signed: The document needs to be signed by several parties and has not been signed by all parties.
    - Awaiting signature: The document is still in the signing process and has not been fully signed.
    - Declined: The document was not approved.
    - Completed: The document has been fully signed.

A. Sending a Document to Mekari Sign for Individual Signing

  1. If you want to send a document to Mekari Sign individually, make sure the document is already integrated and has the status "No document sent", then you can follow these systematic steps.

  2. If the document has not been sent to Mekari Sign, integrated, and has the status No document sent, you can click “Actions,” then Send to Mekari Sign.

  3. Select Document compliance PSrE if the document is a local document, which in Mekari Sign has obtained digital certificate legitimacy from KOMINFO. Or, select Global sign if the document is an international document, which in Mekari Sign has obtained global certificate legitimacy. Then, click “Continue.”

  4. In the next step, you can add signers or document recipients.

    3. Select employee Click to select employees who need to sign this document or need to receive a copy of the document.

    Select the purpose of sending the document to the employee; Needs to sign if the employee needs to sign this document, or Receive a copy if the employee needs to receive a copy of the document.
    5. Delete employee Click to remove the employee from the list.
    6. Add another signer Click to add an employee to the list.
    7. Add me as signer Click to add yourself as one of the employees in the list.
  5. Click “Continue” to proceed to the next page.

  6. Stay on this page until the system finishes preparing the document.

  7. Review the document before sending by clicking “Send document”.

     

    - You can sign first if you are one of the signers.
    - In Signature fields, you can add a column of one type of signature to be used in this document.
    - In Auto fields, you can add a column of one type containing automatic data. For example, Name for a column that auto-fills the name.
    - In the Document section, you can click Better document resolution to view the document in better resolution. Also, you can check “Show QR code” to arrange the layout of the QR eStamp signature on the document.

  8. Click “Send document” on the pop-up to continue sending the document.

B. Sending Documents to Mekari Sign for Bulk Signing

  1. Besides sending documents to Mekari Sign individually (specifically for documents that have not been sent to Mekari Sign, integrated, and have the status No document sent), you can also send them in bulk. Here are the steps.

  2. Check the names of documents with Mekari Sign status ‘No document sent’ as shown below. Then, click “Actions” and then click Send to Mekari Sign.

  3. Select Document compliance PSrE if the document is a local document, which in Mekari Sign has obtained digital certificate legitimacy from KOMINFO. Or, select Global sign if the document is an international document, which in Mekari Sign has obtained global certificate legitimacy. Then, click “Continue.”

     

    You can see the list of documents and their owners on this page. In addition, you can remove them by clicking the “-” icon.

  4. In the next step, you can add signers or document recipients.

  6. A pop-up for confirmation will appear suggesting automatic sending to save time and prevent system errors caused by manual signature placement on many documents. If you choose "Auto-placed and send now", the system will automatically place signature positions based on the template and send it immediately. Also, the system will auto place and send documents automatically if the number exceeds 100 (one hundred). If you choose "Review manually", you will be required to check and arrange the signature positions on each document manually before sending.

    If you select the “Review manually” option, you will be directed to the next page. You can click the “>” icon to see the list of employees who own these documents. Review the documents before sending by clicking “Send all”.

  7. You will then be asked to go to the Inbox by clicking “View inbox”.

  8. Click Inbox with the title Documents sent successfully.

  9. Then, click “View document status”.

  10. You will be directed to the Export history page. For documents that have been sent, the status will show Awaiting signature, meaning the document is waiting to be signed. Next, you can wait until the status changes to Completed.
