How to Manage Document Templates That Have Been Integrated with Mekari Sign

If you have integrated Mekari Talenta and Mekari Sign, then you can perform several actions on documents between the two applications. You can perform actions such as sending documents with an electronic signature or signing the document. The document can then be exported to all employees.

Here are the steps to send a document for signing and view its history.

  1. Go to the Productivity menu, then select Document Templates.

  2. Click “Generated documents”.

  3. On the Generated Documents page, you can filter the list by timetemplate type, specific employee category, and document or Mekari Sign status. You can also view the Mekari Sign integration status in the Mekari Sign status column. Finally, you can perform various actions on the template based on its status by clicking "Actions."

    Mekari Sign status information:
    - No document sent: The document has not been sent.
    - Waiting for others: The document integration process is still underway.
    - Declined: The document has been rejected for integration.
    - Completed: The document has been integrated.

  4. If the document has not been sent to Mekari Sign, integrated, and has a status of No document sent, you can click “Actions” then Send to Mekari Sign.

  5. Select Document compliance PSrE if the document is local, for which Mekari Sign has received a digital certificate from the Ministry of Communication and Information Technology (KOMINFO). Alternatively, select Global Sign if the document is international, for which Mekari Sign has received a global certificate. Then, click "Next."

  6. In the next step, you can add signatories.

    Click to select the employees who need to sign this document, or need to receive a copy of the document.

    Purpose

    Select the purpose of sending the document to the employee; Needs to sign if the employee needs to sign this document, or Receive a copy if the employee needs to receive a copy of the document
    3 Delete employee Click to delete an employee from the list.
    4 Add another signer Click to add employees to the list.
    5 Add me as signer Click to add yourself as an employee to the list.
  7. Click “Next” to proceed to the next page.

  8. Stay on this page until the system finishes preparing the document.

  9. Check the document before sending it by clicking “Send document”.

    - You can sign first if you are one of the signers.
    - In Signature fields, you can add a column for one of the signature types to be used in this document.
    - In Auto fields, you can add a column for one of the column types that contains automatic data. For example, Name for the name column that is automatically filled in.
    - In the Document section, you can click Better document resolution to view the document in better resolution. Additionally, you can check “Show QR code” to arrange the layout of the eMeterai QR signature in the document.

  10. In addition to sending documents to Mekari Sign (specifically for documents that have not been sent to Mekari Sign, integrated, and have the status "No document sent") individually, you can also send them in bulk by checking the document names as follows. Then, click "Actions" and then click "Send to Mekari Sign."

  11. On documents that have been sent with the status Waiting for others, Declined, or Completed on the Export history page, you can click “Actions” and View details to see the document signing history. 

  12. Then, you can see the complete details of the document. Here is an example of the details of a document with the status Completed.
