Once a candidate has completed the Assessment process, the next step is to conduct a job interview. In this case, as a Super Admin, you will proceed with the recruitment stage or Move stage to the Interview phase. Before that, you need to Schedule Interview first to arrange the interview schedule with the candidate. Here are the steps.
A. Sending Interview Invitations to Candidates Individually
Go to the “Candidates” menu.
Click the “Assessments” tab, then select a candidate's name.
Then, click “Move stage” and choose one of the options under Interview, for example, HR interview. You can then select either Move only (just move without setting an invitation) or Move and Invite (move the stage and set invitation details).
If you select Move only, the candidate will only be moved to the selected stage without an interview invitation being sent by the system.
If you select Move and Invite, the Schedule interview sidebar will appear for you to fill in the details before the system sends the interview invitation. First, specify the Location. If you want the candidate to have an On-site interview, you can enter the office address and room details in the Office field.
\
However, if you want the candidate to have an Online interview, you can enter the URL link in the Assessment link field.
Next, fill in the date and time of the interview in the following fields.
Then, you can check the toggle below to send the Invitation via email.
You can also enter a Note if needed to be conveyed to the candidate. This note will appear in the Invitation email to the candidate.
Then, specify the Interviewer who will interview by clicking "Select interviewer". You can also add more than one Assessor by clicking “Add assessor”.
Once all data is filled in, you can click “Preview email” to see a preview of the Interview invitation email for the candidate.
A preview of the email will appear as shown below. Make sure all content is correct, then click “Send”.
-
Next, click “Save”.
The scheduled Interview that has been successfully uploaded can be Cancelled or Edited again.
B. Sending Interview Invitations to Candidates in Bulk
Go to the “Candidates” menu.
Then, select the Assessment stage. Next, check the checkbox next to the names of the employees.
-
Click “Move to”, then select one of the Interview stages, for example HR interview. You can then choose either Move only (just move without setting invitations) or Move and Invite (move the stage and set invitation details).
You cannot move candidate stages in bulk if their Job positions differ. Use the “All filter” feature to filter candidate names based on the same Job position. If there are employees with different Job positions, the following pop-up will appear. Click “OK, got it” to reselect the candidate names.
