New Attendance Present and Not Present Dashboard Overview

In Talenta Insight, there is New Attendance which you can use to see employee absences and  time off. New attendance will focus on present and not present metrics.

Present is attendance on time, late in, and early out, where this data reflects the attendance pattern of employees who come to work.

Not present, namely the presence of absence, no clock in, no clock out, and invalid, where this data will affect the company's productivity. The data presented is not real-time and there is a data sync schedule, namely at (WIB): 10 AM, 14 PM, 18 PM, 01 AM Sun-Sat. Sync data will take 4 hours. 

Important
The data presented is full month data (1-31) not based on attendance cut-off or payroll cut-off. 

The following is the explanation.

  1. On the Talenta home page, click “Insight”  or go to https://insights.talenta.co/.
  2. On the Time Management menu, click “Attendance New”.
  3. There are several key filters you should apply to customize the data displayed on the dashboard. To apply it click “Apply filter.

    No Column Explanation
    1 Period
    Apply a filter based on a specific period by clicking the month it starts and ends.
    2 View attendance by
    Apply filters based on the presence of present and not present employees.
    3 Shifts
    Apply filters based on the shifts you have created.
    4 Employment data
    Apply shifts based on employee personnel data, such as branch, organization, job level, and so on.

    - This filter will affect all charts and tables on the dashboard, but will not affect the main metrics.
    - You can also see the last updated or the last time the data was synced.

The following is an explanation for each of the information presented on this page.

A. Metrics Summary

In this section, you can see summary information about attendance based on the filters you have set. If you select the Present or Not Present filter, this section will display different information.

  1. If you select the Present filter, you can see information on Total missing hours on late in  (Number of hours employees clocked in late) and Total missing hours on early out (Number of hours employees clocked out early).

    This information is not available in the Not Present filter.

  2. There is a difference in summary metrics between the Present and Not Present displays.
    • Present
      Information that is visible on the Present display, namely information Most late in (the highest number of late clock-ins for an employee), Most early out (the highest number of early clock-outs for an employee), On time (Number of attendance on time), Late in (The number of employees clocked in late), Early out (The number of employees clocked out early).

      You can click “blueprinted nominal” to see the complete information pop up. The following is an example of an information pop-up on Late in. Here, you can use  the “Search bar” to search for specific employee data and click “Download” to download the data from the pop-up in spreadsheet form.

    • Not Present
      Information that is visible on the Not Present display,  namely   Frequently absent  (the number of employee shifts who are absent for more than 3 shifts), Absent (the number of employees who are absent (not clocked in and clocked out)),  No clocked in (the number of employees who do not clock in), No clocked out (the number of employees who did not clock out), and  Invalid  (the number of employee shifts who clocked in/clocked out outside working hours).

      You can click “blueprinted nominal” to see the complete information pop up. The following is an example of an information pop-up on Invalid. You can use the "Search bar" to search for specific employee data and click "Download" to download the data from the pop-up in spreadsheet form.

      Example of an Invalid Attendance case: Employee A has a shift at 07.00 - 17.00 WIB but he clocks in at 18.00 and clocks out at 04.00. Therefore, it is considered invalid so the employee must submit a shift/attendance request to correct the clock-in and clock-out schedule.

  3. Then the data presented will look like this. You can click “Download”  to download the data.
  1. Then the following notification will appear and clickExport history.

  2. And click the “Download” icon to download the data.

B. Attendance Trend

Shows employee attendance trend data according to the period range and branch, organization, job level, or job position that has been selected in the main filter. This data consists of attendance data such as On time, Late in, and Early out. You can hover over the graph to display a detailed description of the graph.

1 Show value number Check to show the number of employees at each point in the graph.
2 Downloads You can download the Attendance Trend file in CSV by clicking this button.
3 Legend attendance type You can view diagrams based on On Time, Late in, and Early out  information for   Present.

However, if you apply the Not Present filter, the data displayed is  Absent, No clock in, No clock out, and Invalid.

C. Attendance Breakdown

In this section, you can see the Attendance Breakdown which contains a summary of attendance data for the number of shifts per employee based on certain filters such as Employment Data (Branch, Organization, Job position, Job level, Grade, Employment status, Service length) or Demographics (Gender, Age, Last Education, Religion, and PTKP Status).

You can hover over the graph to display detailed graph descriptions.

1 View by numbers Click to have the chart view show numbers or percentages.
2 Search bar You can type specific keywords to search for specific information in this section.
3 Range period/Single period

Click to select a period based on a certain time period or based on one specific period. The diagram above is an example of a diagram with the Single period option.

You can tick the Compare with last period checkbox if you want to compare the data with the previous period.

4 Downloads You can download the diagram in CSV format by clicking this button.
5 Breakdown by

Click to select data based on specific specifications. The example in the image above is a breakdown by branch . 

If you select Breakdown by Branch or Organization (and certain breakdown categories), then, you can add View by details by clicking and checking the options in the dropdown .

6 Attendance type You can view diagrams based on On Time, Late in, and Early out  information for  Present.

However, if you apply the  Not Present  filter, the data displayed is Absent, No clock in, No clock out, and Invalid.

D. Time Off Trend

Time off trend which contains a summary of employee time off data based on the number of days per policy taken by employees.

You can choose a specific time off policy according to the leave available in your company to display.

3 Download You can download time off trend data in CSV format by pressing this button.

E. Employee list

In this section,  you can see a table containing a list of employee names along with other information based on the main filter that you have applied. You can see the  On Time, Late in, Early out, Missing hours (late in), and Missing hours (early out)  metrics if you apply the  Present main filter.  However, if you select the main filter  Not Present, the column metrics become Absent, No clock-in, No clock-out and Invalid.

3 Download button

You can download the Employee list in CSV by clicking this button. Then, click this to start downloading.

Then, you will be directed to the Export History page, you can find the data you have downloaded here. Then, click the  blue “Download” icon.

4 Rows per page Click to set the number of lists displayed.
5 Previous/Next list Click to go to the previous page with the “<” or next page with the “>” icon.
