How to Create a New Evaluation Review Cycle

You can create a new review cycle with 3 (three) different cycle purposes on the Review cycle, namely Performance, Competency, and Evaluation Review. Each review cycle requires settings related to the review period, the review method used, and when the review results will be published. The cycle created along with its progress will be summarized in the Overview cycle graph, which you can learn about here.

This guide explains how to create an Evaluation cycle aimed at evaluating employee performance during a specific employment period, such as probation or contract period. Here are the steps:

  1. Log in to review.talenta.co.

  2. In the Reviews menu, click Review Cycles.

  3. Click “Create New Cycle”.

  4. In the Create your cycle pop-up, select Evaluation review. Enter the name of the cycle you want to create. Make sure the cycle name is complete and detailed as shown in the image below. Then, click “Create”.

  5. You will be directed to the Create new cycle page to complete the form.

    1 Edit cycle name Button to change the cycle name or change the purpose of the cycle: performance, competency, or evaluation.
    2 Employment status Select the employee status for which you want to set the Evaluation review.
    3 Filter of your employee(s) Filter employees based on Branch, Organization, Job position, and specific Job level.
    4 Select template Select the template for this Evaluation review.
    5 When are reviews start? Select when this review will start before the employee's employment period ends.
    6 Re-include employees with extended employment period You can check this option if you want the system to automatically re-include employees whose employment period has been extended into the current review cycle. If unchecked, those employees do not need to be re-evaluated in this cycle.
  6. Next, you can select and configure one or more of the following review methods.

    1 Manager review

    Enable this option to allow managers or direct supervisors to assess their subordinates' performance. You can click the “Manage” button to set the details and assessment criteria from the manager. Below is an explanation of each tab you need to configure for Manager review.

    1. General

      In this tab, you can set indicators and configuration for the Manager review method, such as:
      - Template: Choose the manager assessment indicator template to be used.
      - Reviewer: Choose the method for determining the reviewer (such as based on approval line).
      - Automatically assign the employee manager to each selected member: Check this option to automatically assign each employee's manager as the reviewer.
      - Display review result in details: Check this option to display detailed manager assessment results to users.
    2. Goals

      In this tab, you can include each employee's goals as review indicators, such as:
      - Include goals: Check this option to include each employee's targets or goals as one of the assessment indicators.
      - Auto-score for goal on review form: Check this option so the system automatically calculates the goal score based on the achievement percentage you define (Define rating from achievement percentage).
      - Allow reviewer to edit auto-score from the system: Check this option to allow the reviewer to modify the automatic score calculated by the system.
      - Goal to include: Select the types of goals to be included in the evaluation.
    3. Attendance performance

      In this tab, you can calculate attendance scores based on each employee's attendance data during the review period, such as:
      - Include attendance data: Check this option so the system automatically calculates employee attendance scores based on attendance records from the attendance module during the review period. Then, you can specify the “Percentage range” for each Rating name.
    4. Reprimand

      In this tab, you can include reprimand history data as an indicator with a maximum period of one year, such as:
      - Include reprimand data: Check this option to display employee reprimand history data on the assessment form.
      - Define a score or rating for reprimand: Check this option to set the score or rating based on the type of reprimand received by the employee in the “Reprimand types” column.
    5. Weight

      In this tab, you can set the weight of the Final score that will be calculated after the review is completed, such as:
      - Use weight: Select this option so the final score is calculated based on the percentage weight assigned to each assessment aspect (such as Review weight, Goal weight, Attendance weight, and Reprimand weight).
      - Simple sum: Select this option so the final score is calculated by directly summing all aspect scores without considering the percentage weight.

    Once finished setting up Manager review, click “Save”.

    2 360-degree review

    Enable this option to apply a comprehensive assessment method from various perspectives (such as coworkers, supervisors, and subordinates). Click the “Manage” button to configure reviewers and 360-degree feedback rules. Below is an explanation of each tab you need to configure for 360-degree review.

    1. General

      In this tab, you can configure settings related to 360-degree review, such as:
      - Template: Choose the 360-degree assessment indicator template to be used to evaluate employees.
      - Display 360-degree result for manager: Check this option so managers can see the 360-degree assessment results of their subordinates on the assessment form or pending action page.
    2. Goals

      In this tab, you can include each employee's goals as review indicators, such as:
      - Include goals: Check this option to include each employee's targets or goals as one of the assessment indicators.
      - Auto-score for goal on review form: Check this option so the system automatically calculates the goal score based on the achievement percentage you define (Define rating from achievement percentage).

    3. Weight

    Once finished setting up 360-degree review, click “Save”.

    3 Team review

    Enable this option to involve team members in collaboratively assessing each other's performance. You can manage the team review through the “Manage” button. Below is an explanation of each tab you need to configure for Team review.

    1. General

      In this tab, you can configure settings related to Team review, such as:
      - Template: Choose the Team review indicator template to be used to evaluate employees.
      - Display team review result for manager: Check this option so managers can see the Team review results on the assessment form or pending action page.
    2. Goals

      In this tab, you can configure settings related to Team review, such as:

    Once finished setting up Team review, click “Save”.

    4 Self review

    Enable this option so employees can evaluate and assess their own performance. Click “Manage” to set the questions or self-assessment criteria. Below is an explanation of each tab you need to configure for Self review.

    1. General

      In this tab, you can configure settings related to Self review, such as:
      - Template: Choose the self-assessment (self review) indicator template to be used by employees.
      - Review using comment only: Check this option so employees only need to fill in comments without entering numeric scores on the self-assessment form.
      - Show self review result on manager review form: Check this option to display the employee's self-assessment results on the manager's assessment form (with customizable submission order).
    2. Goals

      In this tab, you can include each employee's goals as review indicators, such as:
      - Include goals: Check this option to include each employee's targets or goals as one of the assessment indicators.
      - Auto-score for goal on review form: Check this option so the system automatically calculates the goal score based on the achievement percentage you define (Define rating from achievement percentage).
      - Allow reviewer to edit auto-score from the system: Check this option to allow the reviewer to modify the automatic score calculated by the system.
      - Goal to include: Select the types of goals to be included in the evaluation.
    3. Weight

      In this tab, you can set the weight of the Final score that will be calculated after the review is completed, such as:
      - Use weight: Select this option so the final score is calculated based on the percentage weight assigned to each assessment aspect (such as Review weight, Goal weight, Attendance weight, and Reprimand weight).
      - Simple sum: Select this option so the final score is calculated by directly summing all aspect scores without considering the percentage weight.

    Once finished setting up Self review, click “Save”.

    5 Use weight You can determine the weight (in percentage) of each category/aspect of assessment so the system can calculate the rating to be included in the final score.
  7. The Publish score after option is used to determine when the final assessment scores will be made public, either when the review process is complete (Complete review), when the review period ends (Review period end), or after both conditions are met (Both). Meanwhile, checking the Use approval on review period checkbox is used to enforce an automatic approval flow during the next review period.

  8. Then, you can use the Score Adjustment feature as follows.

     

    You can reduce the employee's final score based on attendance data and their reprimand status. Then, the following sidebar will appear.

    - Deduction formula: You can select By amount per period if the formula you want to apply is based on a certain time period. Or, select By percentage for a deduction formula based on a certain percentage.
    - Deduction assigned: Specify to whom the score deduction applies, based on Job level, Job position, or All employee (all employees to be reviewed in the review cycle). If you choose Job level/Job position, you must specify which level or job position in the Select job position/Select Job level column.

    - Attendance: Specify which attendance criteria the deduction will apply to, such as Absent, No clock-in, No clock-out, Late clock-in, or Early clock-out by checking them. Then, you can set the condition Total min. Days (for deduction formula per period)/Total min percentage (for deduction formula per percentage) in the provided column followed by setting the Deduct score (point deduction) in the next column. You can add conditions (indicators) by clicking “Add condition”.

    - Reprimand data: Check to apply point deductions to employees who have a Reprimand letter. Specify the reprimand type in Select type and the Deduct score.

    - Time off deduction: Specify the leave or permission policies that will apply for point deductions. Then, you can select the type of leave policy under Time off policy and set the condition Total min. days (minimum number of days) in the provided column, followed by setting the Deduct score (point deduction) in the next column. You can add new conditions (indicators) by clicking “Add condition” or add other leave policies by clicking “Add policies”.
    - When finished setting up Deduction, click “Apply” to apply it.

  9. Then, you can configure the Review outcome section as follows.

    1 Reviewer can decide the employment status Check this option to allow reviewers to determine the employee's employment status decision after the evaluation is completed. In the Define the status section, specify the decision options (such as Extend employment or Close employment) along with their descriptions, and click Add status if you want to add new options.
    2 Lock review after submission Check this option to automatically lock the assessment form after the reviewer submits the evaluation results. This option ensures the assessment data cannot be modified after submission.
  10. Click “Submit” to create this evaluation review.

  11. The review cycle you created will appear on the main page of the Review Cycle submenu.
