How to Manage Reports in Talenta Performance

Reports are a menu that displays the final results of evaluations. You can access Talenta Performance reports through the Reports menu under the Reviews section. Talenta provides three types of reports: Review, 9 Box Matrix, and Goals.

A. Reviews

I. Summary

  1. In Talenta Performance, click the Reports menu, then select Reviews results.

  2. You will automatically enter the Summary tab view.

  3. Filter the cycle(s) you want to display. You can select more than one cycle by checking the options under Select cycle.

  4. Enter the cycle period you want to display by clicking the start date and end date of that period.

  5. Use this to filter the view based on Organization, Branches, Job Position, and Job Level.

  6. Once you have applied the report filters, click “Generate”. The final evaluation results for each cycle will be displayed. The final score per method can be shown as above (displaying weighted scores) if you activate the Use weight feature; click here to activate it.

  7. Use the column visibility filter here to select which information you want to display in the table. Also, use the Search bar to find specific data by entering keywords.

  8. You can click “Download.xls” to download the report in Excel format.

  9. A notification will appear as follows, informing you that the report will be sent to your email.

II. Detail

The Detail Report displays the answers input by the reviewers in detail. Follow these steps to generate a summary report:

  1. Click the "Detail" tab.

  2. Filter the cycle(s) you want to display. You can select more than one cycle by checking the options under Select cycle.

  3. Enter the cycle period you want to display by clicking the start date and end date of that period.

  4. Choose the methods in the cycle you want to display by checking the checkbox one by one. Reports can be downloaded for more than one method.

  5. After applying the filters, click “Generate”. You will see detailed cycle review data. You can click “Download” to view the detailed answers input by reviewers for employees. The file you download will be sent directly to your email.

  6. Use the column visibility filter here to select which information you want to display in the table.

  7. You can click “Download.xls” to download the report in Excel format.

    - Current Format (.xls): Displays the original rating from each indicator.
    - Previous format (.xls): Displays the converted weighted scores per indicator.

  8. A notification will appear as follows, informing you that the report will be sent to your email.

B. Goals

I. Summary

In the Summary reports, you can view a summary of goals that can be filtered according to your reporting needs.

  1. In Talenta Performance, click the Reports menu, then select Goal results.

  2. You will automatically enter the Goal results page under the Summary tab.

  3. Filter the goals you want to display by checking the options under Select goal.

  4. Use this to filter the view based on Organization, Branches, Job Position, and Job Level.

  5. Enter the cycle period you want to display by clicking the start date and end date of that period.

  6. Once you have applied the report filters, click “Generate”. A summary of the selected goals will be displayed as a list within the applied period and filters as follows.

  7. Use the Search bar to find specific data by entering keywords.

  8. You can click “Export .xls” to download the report in Excel format.

  9. A notification will appear as follows, informing you that the report will be sent to your email.

II. Detail

The Detail Report shows detailed answers input by the reviewers. Follow these steps to generate a summary report:

  1. Click the "Details" tab.

  2. Use this to filter the view based on Organization, Branches, Job Position, and Job Level.

  3. Enter the cycle period you want to display by clicking the start date and end date of that period.

  4. After applying the filters, click “Generate”. A detailed list of goals will be displayed according to the selected filters and period.

  5. Use the search bar by typing the employee's name if needed.

  6. You can click “Export.xls” to download the report in Excel format.

C. 9 Box Matrix

This report helps categorize employees based on review results in a matrix format. Follow these steps to generate a 9 Box Matrix report:

I. Generate

  1. Make sure you have created a review template with 3 legends (for example: low, moderate, and high) using question types such as rating or percentage.

  2. You can create 2 evaluations/2 review cycles divided into potential and performance assessments, which will be used in the matrix.

  3. Click the Reports menu, then click “9 Box Matrix”.

  4. You will be directed to the Generate page.

- Select from cycle: You can select results from a review cycle.

Then, fill in the fields in the following pop-up and click “Submit”.
2 Select performance cycle You choose the following performance cycle options:
- Select from cycle: You can select results from a review cycle.
- Import from other document: You can upload review results from other documents via spreadsheet in bulk. Learn how here.


Then, fill in the fields in the following pop-up and click “Submit”.
3 Result name Give a name to this generated 9 box matrix result.
  1. Click “Generate”.

  2. The evaluation will be displayed in a grid as follows.

    - How to read the report: If an employee has a Low potential rating and a High performance rating, the employee's assessment is Trusted.
    - You can customize the 9 box template through the 9 box configuration page. Below is the grid display with a 5x5 size.

  3. You can rename each grid by hovering over the grid you want to change and then clicking the “Pencil” icon.

  4. Then, enter the new name and click “Save” to save the changes.

    The maximum character limit for grid names is 60 characters.

  5. You can also view the detailed list of employees in each grid by clicking the button as shown below.

  6. The list of employee names will be displayed as follows.

  7. You can click “Actions” to perform several actions on the employee's name.

    - Create IDP: Click to create a performance development plan for the employee through Talenta Performance’s Individual Development Plan.
    - Assign as successor: Click to assign the employee as a successor. You will be directed to the following screen where you can select the Succession plan name before clicking “Assign”.

    - Request transfer employee: Click to request employee position transfer for purposes such as promotion, transfer, rotation, demotion, etc. You will be directed to the following screen where you can select the Transfer type before submitting the request.

  8. You can download the 9 Box Matrix report as an xls file by clicking “Download XLS”.

  9. The report will be sent to your email once the process is complete.

II. Result

  1. Click the Reports menu, then click “9 Box Matrix”.

  2. You will be directed to the Generate page. Click the Result tab to view the list of previously generated reports. In the list, click “Action”.

  3. You can perform the following two actions.

    - View result: Click to open the generated 9 box matrix result.
    - Download: Click to download the 9 box matrix report as a spreadsheet. The report will be sent to your email.

  4. Here is an example of the View result display for a generated 9 box matrix. You can download this result by clicking “Download”.
