Live Attendance Overview

Apart from doing attendance via talenta.co, You can also do attendance via Talenta mobile. You can clock in or clock out via smartphone without requiring an approval process by accessing the Live Attendance Menu on your Talent Mobile Home screen as shown in the following image.

A. Display of Live Attendance Menu

No. Appearance Explanation
1. Display Time & Date Shows the current time and date.
2. Today's Schedule Displays the work schedule for the day in question. There is a shift location label if HRD activates the  Shift label feature.
3. Slide's to start break To start the break time
4. Attendance log To view your attendance history.
5. Location log To view your location history.
6. View Log Displays the history of check-in/out activity during the selected period.
7. Attendance Time

Displays the clock-in and clock-out times that have been entered for the given date. You can click to view the log of the clock-in/clock-out activity. 
 

There are descriptions of certain activities, such as on-call and shift with active location label locations as follows.

B. How to check in/check out

Here are the steps.

  1. Click the “Clock in” or “Clock Out” button on the Live Attendance page.

    Important
    If your company implements live tracking settings on Liveness attendance, Talenta will start recording your location from the moment you clock in until you clock out.

    What is live tracking?
    Live tracking is a feature to monitor employee location and attendance activities in real-time, especially for field or mobile employees. If your company implements this setting, a pop-up or page like the following will appear after you clock in:
    a. Clock in and start Live tracking
    When you clock in with Live tracking settings, you will receive a pop-up like the following. Click “Allow live tracking” to allow the system to monitor your location. Make sure you have allowed Location permission “Allow all the time” on the Talenta Mobile app in your smartphone settings.

    b. Location tracking is ongoing
    The following pop-up appears when you clock in while another clock-in with live tracking is in progress and has not been clocked out. To be able to clock in, click “OK, got it” then, do “Clock-out”.

    c. Tracking active on another device
    This pop-up appears when you clock in on another device (device A, for example: smartphone), even though you have a clock-in log with live tracking running on the previous device (device B, for example: tablet). Click “OK, got it” and it is recommended to do attendance on the same device.

    d. Location fetch failed
    The following pop-up appears when there is an issue with live tracking monitoring by the system or mobile phone signal when you clock in/out. Click “Reload” for the system to try again to start monitoring.

    d. Clock-out and ending live tracking
    When you clock out with live tracking, you can check “End live location” so that the system stops monitoring your location. However, if you want to apply live tracking even though you have clocked out, you can uncheck it. Then, click “Submit”. Besides this, you can also end live tracking via push notification.

  2. Enter Notes or take a photo if needed. Then click "Submit".

  3. You can view your clock-in/out history in the Attendance Log section.
  4. You can also view your check-in/out history for a specific period by clicking the “View Log” button.
  5. Filter the period you want to view as follows.
  6. You can click the “side arrow” on each record to see detailed notes, photos, and location information for each clock-in and clock-out.
  7. The attendance history will then appear as shown below. Click the “side arrow” again to view detailed attendance information.
  8. And the detailed attendance will appear like this.
  9. You can also do Live Attendance without having to be connected to the internet.

    You need to activate this feature first by contacting the support team.

  10. However, when you are back online, you need to synchronize your check-in and check-out data.

C. How to view the location log

  1. To view your location history, click the “Location log” tab.
  2. Click “Location” to see the location details of the live attendance performed.
  3. The location log will then appear as shown. You can also add notes related to that location by clicking “Add notes.”
  4. Then, fill in the "Note" field with your reason for being there, as shown in the example below. Then, click "Save".

  5. Therefore, the note is saved successfully.

Live attendance also applies to shift work systems. In the shift work system, live attendance can make it easier for employees to understand when to clock in and out when the shift schedule intersects between today and the next or the previous day.
