How to Manage Mass Overtime

Mass Overtime can be used when you have overtime data for several employees, so you don't need to input overtime data one by one for these employees.

Here are the steps

  1. Enter the Time Management menu then select Overtime.
  2. On the overtime page, click "Request Overtime" then click "Import Overtime".
  3. Click “Template Overtime Request”.
  4. The pop-up will appear, then enter the Start Date and End Date of the overtime period to be entered.
  5. Use filters to select employees. Filters that can be used are based on Branch and Organization.
  6. Or you can also directly select employees as shown below.

  7. Then, click “Download”.
  8. Open and complete the file.
  9. The first four columns will contain information about the Employee ID, Employee Name, Date, and applicable Shift.

  10. If the overtime is carried out on weekdays, enter information on the duration of the employee's overtime in the Work Shift column.

  11. Enter the duration of the Employee Overtime which is carried out before working hours in the OT Before Duration column (in minutes).

  12. Fill in the duration of the Break done during Overtime before working hours in Break (OT Before) Duration (in minutes).

    The break will reduce the duration of overtime.
    Example: Employee A does overtime before working hours for 90 minutes. The company sets a break for overtime before working hours, which is 30 minutes. Then the overtime recognized for employee A is 60 minutes.

  13. Fill in the duration of the Employee Overtime which is carried out after working hours in the OT After Duration column (in minutes).

  14. Fill in the duration of the Breaks during Overtime after working hours in Break (OT After) Duration (in minutes).

    The break will reduce the duration of overtime.
    Example: Employee A does overtime after working hours for 120 minutes. The company sets a break for overtime after working hours, which is 30 minutes. Then the overtime recognized for employee A is 90 minutes.

  15. If overtime is carried out on holidays, enter information on the employee's entry and exit schedule.

  16. Fill in the employee's entry and exit schedules during overtime on national holidays/holidays/company holidays (enter it in time format). Fill in the duration of the Break done during Overtime (in minutes).

    The break will reduce the duration of overtime.
    Example: Employee A does overtime with a schedule in at 09:00 and a schedule out at 15:00. The company sets a break during overtime, which is 60 minutes. Then the overtime recognized for employee A is 5 hours (15:00 - 09:00 - 60 minutes).

  17. Next, upload the data by clicking “Choose File”.
  18. Then, click “Submit”.

  19. Then the overtime data will be updated.

    The status will change to approved if the approver has approved the overtime data.
