Mass Overtime can be used when you have overtime data for several employees, so you do not need to input overtime data one by one for those employees.
Here are the steps
Go to the "Time" menu then select Overtime.
On the overtime page, click Overtime requests, then click “Import request”.
-
Then, you can complete the filter for the template in the Download the data template section.
No.
Column Name
Description
1 Employee You can select the employee name from the list in the left column to import their overtime request data as needed. Then, click "Assign employee".
Use the "Filter" to help you select employees based on certain categories, such as Branch and Organization.
2 Overtime date Specify the start and end dates of the overtime request to be entered. Then, click "Download template".
Open and complete the file.
The first four columns will contain information about Employee ID, Employee Name, Date, Shift, and Type (Paid Overtime/Overtime Leave) applicable. You can fill the Type column according to the tooltip that appears when you hover the cursor over the column header.
-
If overtime is done on a working day, enter the duration (in minutes) of the employee’s overtime in the Work Shift column. You can fill these columns according to the tooltip that appears when you hover the cursor over the column header.
- The time you enter in the Break (OT Before) column will reduce the overtime duration.
Example: Employee A works overtime before work hours for 90 minutes. The company sets a break for overtime before work hours of 30 minutes. So the recognized overtime for employee A is 60 minutes.
- The time you enter in the Break (OT After) column will reduce the overtime duration.
Example: Employee A works overtime after work hours for 120 minutes. The company sets a break for overtime after work hours of 30 minutes. So the recognized overtime for employee A is 90 minutes. If overtime is done on a holiday, enter the employee’s clock-in and clock-out schedule.
-
Fill in the employee’s clock-in and clock-out schedule during overtime on national holidays/company holidays (enter in time format). Fill in the break duration taken during overtime (in minutes).
A break will reduce the overtime duration.
Example: Employee A works overtime with a schedule in at 09:00 and schedule out at 15:00. The company sets a break during overtime of 60 minutes. So, the recognized overtime for employee A is 5 hours (15:00 - 09:00 - 60 minutes). -
Fill in the Notes column to describe the Overtime.
If there are custom fields included in the overtime submission, you can also complete them.
Next, upload the data by clicking “Browse” or by dragging and dropping the file into the box. After the file is uploaded, click "Upload".
-
Then the overtime request data will be updated in bulk.
The status will change to approved if the approver approves the overtime data.
