How to Manage Employee Attendance (Employee Time Management Info)

The Attendance tab in Employee Info is a tab used to manage attendance data for each employee in the company database. On the Attendance tab, you can find a brief explanation as follows:

No. Button Description
1. Request Shift/Attendance button to submit a request for attendance data or shift changes.
2. View Attendance button to check employee attendance data based on the selected period.
3. Select Month & Year column to set the display of attendance or shift submission history based on the selected month and year.
4. Select Status column to change the display of attendance submission history based on the status (pending, approved, rejected, canceled). 
5. Select Type column to set the display of attendance or shift submission history based on the selected type (attendance or shift).
6. Showing & Search columns to set the display and search for employee attendance or shift submissions based on certain keywords or available options.
7. Request Attendance Table displays the history of submitting employee attendance or shift data.
8. Detail details about submitting employee attendance or shift data are displayed. 
9. Approval displays details of the status of submitting employee attendance or shift data.
10. Cancel button to cancel the submission of employee attendance or shift data.

The following are the steps for requesting the changes for employee attendance and shift data:

A. How to Apply for Changes to Employee Attendance Data (Normal Case)

  1. Click “Request Shift/Attendance”.

  2. Select the Attendance tab, then select the effective date of the proposed attendance data change.

  3. Tick Check In and/or Check Out according to the type of attendance data submitted, and select the date and enter the clock in/clock out that you want to submit.

  4. Fill in the reason for the change in attendance data in the Notes column.

  5. Then click "Submit" to complete the request.

B. How to Submit Changes to Employee Attendance Data (Overnight Case)

  1. Click “Request Shift/Attendance”.

  2. Select the Attendance tab, then select the effective date of the proposed attendance data change.

  3. Tick Check In and/or Check Out according to the type of attendance data submitted, select the date, and enter the clock in and clock out that you want to submit.

    Case 1: The user has today’s shift with the possibility to do an early check-in before today’s date (yesterday).
    - Reset time overnight: 3 hours
    - Today's Shift: 00:00 - 06:00
    - Request date (select date Field): 3 February 

    Based on the case example, you can only click on a date that meets the requirements according to the date that has been selected in the Select date column (February 3). You can choose February 2 for early check-in and February 3 for normal check-in.

    Then, after selecting the date, you can enter the clock in.

    Case 2: The user has today’s shift with the possibility of doing a late check-out after today’s date (tomorrow).
    - Reset time overnight: 3 hours
    - Today's Shift: 09:00 - 23:00
    - Request date (select date Field): 6 February 

    Based on the case example, you can only click on a date that meets the requirements according to the date that has been selected in the Select date column (February 6). You can choose February 7 for late check-out and February 6 for normal check-out.

    Then, after selecting the date, you can enter the clock out.

  4. Fill in the reason for the change in attendance data in the Notes column.

  5. Then click "Submit" to complete the request.

C. How to Apply for Changes to Employee Shift Schedules

  1. Click “Request Shift/Attendance”.

  2. Select the Shift tab, then select the effective date of the submitted attendance data changes.

  3. Select the proposed new shift in the New Shift column.

  4. Fill in the reasons for changing the shift schedule on the Notes tab.
